Streamlining Transaction Management with Sage Intacct: Efficiently Merging Line Items from Multiple Transactions

Sage Intacct, a powerful cloud-based accounting software, provides a wide range of features to help businesses effectively manage their finances. While the software’s import functionality is robust, it may not always meet specific business needs. To address this, the Process Transactions feature allows for streamlined transaction management. This tool lets you convert multiple transactions into a single one, merge line items from different transactions, or split a single transaction into multiple transactions.

In the previous blog, we demonstrated how to convert multiple transactions into a single one. Combining line items from different transactions into a single transaction is most effective when dealing with two or more non-posting transactions. For instance, if you have several sales orders for the same customer that will be shipped together, you can merge the line items from these orders into a single shipment.

The merged line items will appear as separate entries in the new transaction; they will not be consolidated into a single line item. For example, if you select a line item for 10 widgets from Transaction A and another line item for 5 widgets from Transaction B, the new transaction will include two separate line items: one for 10 widgets and another for 5 widgets.

To convert line items from different transactions into one transaction, follow these steps:

  1. Select the Transaction Type:
    • In the Filters section, choose the type of transaction you want to create. For example, to merge line items from different sales orders into one shipment, select “Shipper.”
  2. Choose the Customer:
    • Select the customer associated with the transactions you want to merge.
  3. Process by Lines:
    • In the Process by field, select “Lines.”
  4. Select Merge as the Process Type:
    • In the Process type field, choose “Merge.”
  5. Set Filter Criteria:
    • Adjust any additional filter criteria as needed.

  1. View Available Transactions:
    • Click “View.” The Process Transactions page will display the default transaction details and list the available transactions. If the required transactions do not appear, click “Customize” to return to the Filters section and adjust the criteria.
  2. Edit Transaction Details:
    • Modify the Transaction details fields as needed.
  3. Select Line Items:
    • Check the box next to each transaction line item you want to include in the new transaction.
  4. Edit Line Item Details:
    • Make any necessary changes to the selected line items.
  5. Create the New Transaction:
    • Click “Create.” A message will confirm that the document was created successfully: “Document <type doc number> was created successfully.”

By following these steps, you can efficiently combine line items from multiple transactions into a single, organized transaction for easier management and processing.
