A dunning email is a message sent to a customer or client who has not made a payment or has an overdue invoice. This communication is commonly used by businesses or service providers to collect payment for products or services provided. The main goal of a dunning email is to remind the customer of their outstanding bill and prompt them to make payment promptly.
Promote Accounts from Salesforce to Acumatica
During the data processing & promotion of customers from Salesforce to Acumatica ERP, our goal is to achieve a seamless and straightforward transition. To assist with this transition, we have implemented a modal popup, as shown in the image below. In this popup, users must complete specific mandatory fields such as Integration Name, Customer Class, Customer ID, and Email for the customer promotion.
When you click the ‘Promote’ button, the customer is seamlessly transitioned within Acumatica ERP and you promote Accounts from Salesforce to Acumatica. Alternatively, clicking ‘Save’ ensures that the entered data like Integration Name, Customer Class, Customer ID, and Email – is saved in the posting data.
What exactly are these mandatory fields?
Customer Class
The Customer Class in Acumatica serves as a structured entity defining various customer attributes and functionalities within the system. It acts as a blueprint for managing customer records, organizing essential data such as contact details, sales history, and payment terms in a standardized format. Hence, while using our GUMU product for customer promotion, the user is required to specify the Customer Class.
A Send Dunning Letters by Email is a communication sent to a customer or client who has failed to make a payment or has an overdue invoice. It is typically used in the context of businesses or service providers trying to collect payment for products or services rendered. The primary purpose of a Dunning email is to remind the customer about their unpaid bill and request prompt payment.
In the billing address tab of the customer details in Acumatica ERP, there’s a crucial checkbox labelled ‘Send Dunning Letters by Email’, as illustrated below.
This checkbox is, by default, checked. Therefore, during promotion, the Email field is always necessary. However, if the checkbox is unchecked, the Email field becomes optional. To manage this, we’ve incorporated a toggle button ‘Send Dunning Letters by Email’ in our Promote Customer Modal Popup and Setup tab, as seen in the image below.
How does the ‘Send Dunning Letters by Email’ toggle button function?
To optimize workflow efficiency, our toggle button ensures the effective operation of the ‘Send Dunning Letters by Email’ feature. Here is how it functions:
Account-Level Checking
The toggle button checks the ‘Send Dunning Letters by Email’ checkbox at the account level. If enabled, it defaults to enabled status in the Promote Customer Modal Popup. Conversely, if disabled, it checks the configuration level.
Configuration-Level Checking
Users can access the toggle button conveniently placed near the Integration record in the Integration lists. This button, represented by a gear icon beside the default entity action button, triggers the Acumatica Configuration Modal Popup. Within this popup, users can find the toggle button for ‘Send Dunning Letters by Email’, allowing seamless management of this feature.
If enabled at the configuration level, the toggle button ensures the default value is enabled in the Promote Customer Modal Popup and vice versa.
By incorporating this toggle button within the setup tab, users can easily manage the ‘Send Dunning Letters by Email’ feature, ensuring seamless integration & promote Accounts from Salesforce to Acumatica.
Thus, whether the Email field is required during promotion depends on the state of this toggle button. If it’s enabled, Email is mandatory; otherwise, it’s optional.
